Are you friendly, organized, and passionate about delivering exceptional customer experiences? Our Swim School is looking for an enthusiastic Office Staff Team Member to be the welcoming face and voice of our program. In this role, you’ll support families, streamline operations, and help create an outstanding experience for every swimmer who walks through our doors.

✨ Position Summary

Our Swim School Office Staff represents our brand to the public by providing top-tier customer service to both new and existing families. You’ll play a vital role in guiding families through enrollment, answering questions, and ensuring our programs run smoothly.

🏅 Key Responsibilities

Customer Experience & Front Office Support

• Serve as the friendly face and voice of the swim school

• Provide professional, policy-aligned customer service

• Answer phones and return voicemails/emails within 24 hours

• Assist families with questions about programs, enrollment, and events

• Help families select the best programs for their children (lessons, team, camps)

• Promote and sell programs and services to new and existing customers

Enrollment & Administration

• Manage new family onboarding:

  • Track new enrollments

  • Send welcome emails (via Jackrabbit)

  • Prepare and distribute welcome packets

• Maintain and update camp and team rosters

• Support league team administration

Events & Operations

• Assist with on-site swim meets, fitting days, and community outreach booths

• Maintain a clean, organized, and welcoming office environment

• Report supply or ordering needs to management

• Support additional administrative projects as assigned

📋 Qualifications

Required Skills

• Proficiency with Microsoft Office Suite

• Experience with customer database systems (training provided if needed)

• Strong phone etiquette and communication skills

• Excellent organization and multitasking abilities
